Sheetmancer is a mobile app by DigiRune Studios, a division of McCullough Development, Inc. (a South Carolina corporation based in Beaufort, South Carolina, USA). The app lets you photograph a paper tabletop role-playing game (TTRPG) character sheet and turn it into an editable digital character that syncs across your devices. This policy explains, in plain language, what information the app handles and how. We built Sheetmancer to respect your privacy: no ads, no tracking, and we never sell your data.
To use Sheetmancer you sign in with Sign in with Apple or Google. We receive a unique account identifier from that provider (and, depending on the provider and your choices, a name and/or email address) so we can recognize you and link your characters to your account. We use a trusted authentication service, Google Firebase Authentication, to manage sign-in securely. We do not receive or store your Apple or Google password.
The digital characters you create or edit (names, stats, notes, optional portrait images, themes, and session journal entries) are stored in two places: securely in the cloud using Google Firebase / Firestore, tied to your account so they sync across your devices, and as a local copy on each device so the app works offline. Your character data is private to your account; we do not browse, share, or sell it.
When you take or upload photos of a character sheet and tap Scan, those images are transmitted over a secure connection to our processing service (see Section 2) so the text on the page can be extracted into digital fields. We do not permanently store your photos on our servers, and the app does not keep the original images after extraction — only the structured character data it produces.
Sheetmancer is a paid app and offers optional in-app purchases (additional character slots). All payments and purchase records are handled directly by the Apple App Store or Google Play under their own terms and privacy policies. DigiRune Studios never sees or stores your payment card details.
To read the text on your character sheets, Sheetmancer sends the photos to Anthropic, the maker of the Claude AI models, through a secure server we operate. We use Anthropic's commercial API for this single purpose: turning the writing on your page into editable fields.
Per Anthropic's commercial API terms, inputs and outputs sent through the API are not used to train Anthropic's AI models, and they are automatically deleted from Anthropic's systems after a short retention period (currently about 7 days) kept only to detect misuse. Your character photos are never used to build or improve any AI model. Anthropic's data practices are described at privacy.claude.com.
We do not use your information for advertising, profiling, or any purpose beyond operating the app's core features.
We do not sell, rent, or trade your information. We share data only with the service providers needed to run the app, each for the limited purpose described:

Sign-in and cloud storage are handled through Google Firebase's secure infrastructure, and scan photos are transmitted over encrypted (HTTPS) connections. We keep your account and character data for as long as your account is active. When you delete your account (see Section 6), your characters and account record are removed from our cloud storage.

Sheetmancer is intended for a general audience and is not directed to children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.
If we materially change how we handle your information, we will update this policy and revise the date above, and where appropriate notify you in the app, before the change takes effect.
