Sheetmancer is a mobile app by DigiRune Studios, a division of McCullough Development, Inc. (a South Carolina corporation based in Beaufort, South Carolina, USA). The app lets you photograph or upload your tabletop role-playing game (TTRPG) character sheet and every page that goes with it (spells, gear, backstory, notes) and turn them into one editable digital character, a Character Hub, that syncs across your devices. This policy explains, in plain language, what information the app handles and how. We built Sheetmancer to respect your privacy: no ads, no tracking, and we never sell your data.
To scan pages and sync your characters you sign in with Sign in with Apple or Google. We receive a unique account identifier from that provider (and, depending on the provider and your choices, a name and/or email address) so we can recognize you and link your characters to your account. We use a trusted authentication service, Google Firebase Authentication, to manage sign-in securely. We do not receive or store your Apple or Google password.
The digital characters you create or edit (names, stats, notes, optional portrait images, themes, and session journal entries) are stored in two places: securely in the cloud using Google Firebase / Firestore, tied to your account so they sync across your devices, and as a local copy on each device so the app works offline. Your character data is private to your account; we do not browse, share, or sell it.
Photo Album. Pictures you add to a character's Photo Album are stored in your cloud account (Google Firestore) so they appear on all your devices. They are deleted when you delete them, when you delete that character, or when you delete your account.
Your settings. Your account also keeps a note that you accepted the in-app AI disclosure, so you are not asked again on every device.
When you take or upload photos (or a PDF) of your character pages and create your character, those images are transmitted over a secure connection to our processing service (see Section 2) so the text on the pages can be extracted into digital fields. We do not store your photos on our servers. The finished result (text only, not the photos) is kept on our scanning service for up to one hour, so a dropped connection can still collect it without paying twice, and is then deleted.
On your device, the pages you add are kept until the scan finishes or you cancel (for up to three days, so closing the app by accident does not lose them), and a finished scan result is kept until your character is safely saved (for up to seven days). Neither leaves your device.
Sheetmancer is a paid app. Your purchase includes three Character Scans, and you can buy more scans (one at a time or a pack of five) as optional in-app purchases. Payments are handled by the Apple App Store or Google Play under their own terms and privacy policies. DigiRune Studios never sees or stores your payment card details.
So that every purchase is credited exactly once, our scanning service keeps, linked to your account: a record of each purchase (the store's transaction ID, the product, the number of scans and the date), your Character Scan balance (scans included, bought and used), and a note that your Apple or Google sign-in has already received the scans included with the app. On Android, the app also asks Google Play to confirm it is a genuine copy; that check result is kept for about 15 minutes, and a short-lived counter tied to your network address (about an hour) limits how often that check can run.
To keep the service fair and running, our scanning service also keeps short-lived counters of how often scans are started on your account (they expire on their own after about a day).
The app's Help has a Report a problem or suggest an idea link. If you choose to use it, we receive your message, the kind of note (problem, idea or other), the app name and version, your device type (iPhone, Android or web), the address of the page you sent it from and, only if you add it, your email address so we can reply. A random code kept on your device lets us limit how many notes one device can send in a day. Your network (IP) address is never stored with your note. Notes are kept for one year and then deleted automatically; to have one deleted sooner, email us.
To read the text on your character sheets, Sheetmancer sends the photos to Anthropic, the maker of the Claude AI models, through a secure server we operate. We use Anthropic's commercial API for this purpose: turning the writing on your page into editable fields (and, separately, AI may help sort through notes you choose to send us).
Per Anthropic's commercial API terms, inputs and outputs sent through the API are not used to train Anthropic's AI models, and they are automatically deleted from Anthropic's systems after a short retention period (currently about 7 days) kept only to detect misuse. Your character photos are never used to build or improve any AI model. Anthropic's data practices are described at privacy.claude.com.
We do not use your information for advertising, profiling, or any purpose beyond operating the app's core features and answering notes you send us.
We do not sell, rent, or trade your information. We share data only with the service providers needed to run the app, each for the limited purpose described:

Sign-in and cloud storage are handled through Google Firebase's secure infrastructure, and scan photos are transmitted over encrypted (HTTPS) connections. We keep your account and character data for as long as your account is active. When you delete your account (see Section 6), your characters, Photo Album pictures, settings, scan balance and account record are removed from our cloud storage. We keep only what is needed to stop a purchase or the included scans from being credited twice (the purchase records and the note described in Section 1) and a small deletion record; these hold no character data.

Sheetmancer is intended for a general audience and is not directed to children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.
If we materially change how we handle your information, we will update this policy and revise the date above, and where appropriate notify you in the app, before the change takes effect.
